Custom business process automation
Pavlin d.o.o., Ljubljana develops custom business automation for its clients: for processing orders, e-mail and documents, transferring data between business applications, and preparing reports and records. When automating a business process, we first measure how much time the selected procedure actually takes and where errors occur. We then propose the most suitable solution: a custom automation, an existing feature of your business software, or the conclusion that automation does not pay off. For important steps, the decision is always confirmed by a person.
What we automate
Processing orders and purchase orders
Orders that arrive by e-mail or as attachments (PDF, Excel) can be captured automatically: items and quantities are checked and a proposal is prepared for entry into your business software. Your employee confirms the proposal before it is entered. We build the solution after reviewing your actual purchase orders and business software.
We build on our experience with automatically capturing data from e-mails and attachments and with reading data from the Vasco business software. Every order-processing solution is built from scratch, tailored to the client.
E-mail and documents
Recurring messages such as supplier price lists, order confirmations or notifications are processed automatically: the message is recognised, the attachment is saved to the agreed location and the data is converted into a uniform table, ready for further work.
We have also built and tested the automatic import of supplier price lists from e-mail on our own price lists.
Connecting business applications and transferring data
Data that you currently copy by hand between e-mail, Excel and your business software can be transferred automatically – for example, a list of items with purchase prices, or data for quotes and pro forma invoices.
We also have experience with the Vasco business software, where we can read data through the official programming interface and use it to prepare overviews, reports and other business procedures. We assess the options for automation according to the client's needs and the technical capabilities of their business software.
Documents, reports and records
From the collected data, we automatically prepare clear tables and reports in Excel, for example:
comparison of prices and stock of the same item across several suppliers;
overview of purchase prices for a list of items from your business software;
summaries by item, month and customer.
Benefits for your company
Less manual work – repetitive tasks such as copying and sorting are handled by the automation.
Fewer copying errors – data is transferred exactly as it appears in the source document.
Faster processing – orders and documents are ready for review as soon as they arrive.
Tailored to your processes – we build the automation around your documents, software and rules, not the other way round.
You stay in control – important steps are confirmed by an authorised person.
Specialised services
Public spending analysis – Erar (Slovenia)
We help companies that do business with the Slovenian public sector to collect, organise and analyse publicly available data from the Erar portal. The data can be used to prepare spreadsheets and business analyses and to support the preparation of bids.

Packaging documentation under the PPWR
Regulation (EU) 2025/40 on packaging and packaging waste (PPWR) applies from 12 August 2026. We help you organise your packaging documentation with a custom service: we review which packaging data you already keep, organise it by item in your business software and collect your suppliers' declarations of packaging compliance in one place. We do not provide legal assessments of obligations.

How we work together
1. Initial conversation. You describe the procedure that takes up most of your time.
2. Review and measurement. Together with your staff, we review the steps, systems and exceptions, and measure the time spent and the errors on a sample of real cases.
3. Proposal. You receive a written report with possible solutions, estimated costs, timeline and risks, and a calculation of benefits with clearly stated assumptions.
4. Implementation. If you decide to automate, we first test the automation on test data and only then put it into regular use.
We estimate how long the review will take after the initial conversation, depending on the scope of the procedure.
Security and control
Important steps (e.g. entry into your business software or placing an order) are always confirmed by an authorised person.
During the review we work with samples and read-only access; we do not write anything to your production systems without your approval.
Protection of trade secrets and the processing of personal data are agreed in a written contract before we start.
After completion, samples are deleted or returned, as set out in the contract.
Who is it for?
For companies that repeat the same administrative procedure often – roughly at least 100 times a month or more than 8 hours a week – and want to know whether automation pays off before they invest.
Frequently asked questions
Does automation pay off for a smaller company too?
It depends on how often the procedure is repeated. For infrequent or highly varied procedures, manual work is often cheaper. That is why we first measure the actual time and only then propose a solution.
Do we have to replace our business software?
No. We first check what the software you already use can do. We only propose a custom solution if the existing options are not sufficient.
Can the automation be connected to our business software?
Often, yes – through the software's programming interface or by importing and exporting files. We check which route is possible with your software during the review, before we propose a solution.
Is automation possible in Vasco?
We have experience reading data from Vasco through the official programming interface and using it for overviews and reports. We assess which procedures can be automated according to your needs and the technical capabilities of the software.
Do you guarantee a certain saving?
No. We do not promise savings in advance. We calculate them from measurements on your cases, with three scenarios and clearly stated assumptions.
Who confirms what the automation prepares?
Your authorised person. The automation prepares a proposal; important decisions remain with people.
How do you handle our data?
Protection of trade secrets and the processing of personal data are agreed in a written contract before we start. We only use the samples we need and delete or return them after completion.
How much does it cost?
We prepare a price for the review and implementation after the initial conversation, once we know the scope of the procedure.
How do we get started?
Write to us using the contact form and select “Process automation” in the “Subject” field. We will arrange a short initial conversation.
Describe the procedure that takes up most of your time
Tell us briefly which recurring task you would like to simplify, which business software you use and how often the task is repeated. We will reply with a proposal for an initial conversation.
